Step 1 - Download your pre-trip information kit
You will soon receive an email version of this document, which is full of useful information, but you can download it right now by clicking this link. We recommend that you read it carefully and keep it handy as you prepare for your trip.
Step 2 – Purchase travel protection coverage, if you haven’t already
We strongly recommend travel protection coverage; emergencies sometimes arise, and you will want to protect your travel investment! Click here for more information about comprehensive coverage available through Viking, which should be purchased with your initial deposit and before final payment to ensure maximum benefits.
Step 3 – Make sure your passport is up to date
Your passport’s expiration date must be at least six months after your return from your trip; if it is not, you must renew your passport. You will need a valid, up-to-date passport for each person in your party in order to accomplish the next two steps.
Step 4 – Complete your Passenger Information Form
You must complete a passenger information form, or PIF, for each passenger in your party. We use this information to create all your travel documents, airline reservations and so forth, and to make sure you receive the information and documents you need in a timely manner. Due to TSA airline security measures, your passport name must match your airline ticket name exactly, and you will need to provide your date of birth as well. Make sure to give us an emergency contact who will not be traveling with you, just in case.

Step 5 – Arrange for any needed visas
If you are traveling with us to China, Russia, Egypt, Jordan or Southeast Asia, you will need a visa. You will need to have a valid passport as discussed above before you make these arrangements. As a service to guests, visas are available from an independent third party upon request. If you would like to obtain your visa(s) through our partner, please visit their website here and download a visa kit. Step 6 – Consider a pre- or post-cruise land extension
Maximize the value of your overseas flight and enjoy additional days to explore your river cruise embarkation or disembarkation city—or see a new destination altogether, like Hong Kong, Istanbul or Helsinki. A pre-extension is a great way to relax after a long flight and get accustomed to the time zone. Select your itinerary to see which pre- and/or post-trip destinations are available to you, or give us a call to learn more.
Step 7 – Purchase any needed transfers or extras
If you are making your air arrangements through Viking with no deviation in arrival or departure date, your airport-to-ship/hotel and ship/hotel-to-airport transfers are included. You can also order an onboard gift or beverage package up until 30 days before departure.

Please note, if your itinerary includes any optional tours, these will be offered to you for purchase on board. There is no need to arrange for them in advance.

Step 9 – You have questions—we have answers!

Step 10 – Contact your airline directly about seat assignments and any special requests
If you have booked your air through Viking, you will receive your flight schedule 75 days before departure. If you would like to obtain or change seat assignments or have any other requests, you can call your airline—or, you may be able to manage many aspects of your air reservation online. See the Manage Your Air Reservation section for more details and handy links.
Step 11 – Check your travel documents carefully
About 3 weeks before your departure date, you will receive a packet containing your itinerary details and passenger ticket contracts. Please review all items carefully to make sure everything is correct and that you are clear on your departure date and time. Please note that your flight may be a code-share among partner airlines. Make sure you look carefully at your flight information to determine your air carrier. This will assist you in finding correct departure gate information and help you understand which airline’s luggage restrictions and other rules will apply to you.

Step 12 – Confirm your flights and check in online if possible
It is always a good idea to confirm your flights a day or two ahead of time. Also in many cases you can now check in and obtain your boarding passes online. You might also be able to make arrangements to have your return flights confirmed for you by email or directly to your mobile phone.
